How to Use the App

Everything you need to know — from clocking in to finding shifts and using equipment at the rescue.

The Team Handbook contains everything you need to know about volunteering at LUOSKO — policies, procedures, health & safety, and more. Please take time to read it.

You will also receive a copy of the handbook by email before your induction day.

ALL volunteers MUST clock in when they arrive and clock out when they leave. Your time is logged against your personal code.

Step-by-step: Getting your code

Open the Volunteer App

Log in with your email and password on your phone or any device. You should land on your Dashboard.

Find the Clock In/Out button

Look for the blue clock icon — it appears as a small clock image in the top section of your Dashboard banner. Tap it to open your personal QR code and backup code.

Your Backup Code

Inside the popup you will see a 6-digit number (your personal code). This is the code you type into the Clock Station at the rescue.

Keep this handy! If the QR scanner isn't working, you'll type this 6-digit code manually on the keypad.

At the Clock Station (the tablet at reception)

Tap "Volunteers"

On the main menu screen, tap the orange "Volunteers" card.

Tap "Sign In" or "Sign Out"

Choose Sign In when you arrive, Sign Out when you leave. Both use the same code entry screen.

Enter your 6-digit code

Type your personal 6-digit backup code on the keypad. This is shown in the app under the clock icon.

Confirm your name

Your name will appear on screen — tap Confirm if it's correct. The station will register your clock in or out.

Select your shift (when clocking in)

If you have a shift assigned for today, select it from the list. If not, you can still clock in without a shift.

Your clock-in status shows on your Dashboard as a green "✓ Clocked In" badge next to your name.

If you cannot find your code, check your profile or ask a member of staff who can look it up for you.

You MUST be clocked in before you can be assigned a radio or locker key. Please sign in at the Volunteer station first.

Radios

Tap the purple "Equipment" card on the Clock Station, then select Radio. Enter your code, then choose an available radio (shown in green). Return it the same way at the end of your shift.

Locker Keys

Tap the purple "Equipment" card, then select Locker Keys. Enter your code, pick a free locker number. Remember to return the key before you clock out.

Radios shown in red are already assigned to another volunteer. Radios crossed out (black) are unavailable. Only green radios can be selected.

Go to "Find & Sign Up for Shifts"

From your Dashboard, tap the blue calendar card labelled "Find & Sign Up for Shifts", or use the navigation bar at the top.

Browse available shifts

Shifts are grouped by date and department. Green shifts have availability. Use the date filter or department filter to narrow down what you see.

Sign up for a shift

Tap on a shift to see details, then tap "Sign Up". For flexible shifts, you can choose your own start and end time within the shift window.

Confirm your sign-up

You'll see a confirmation message and the shift will appear in your schedule. You'll also receive an email reminder before the shift.

You can sign up for part of a shift — you don't have to cover the whole thing. Just enter the times you're available.

The "View My Shifts & Events" page shows all your upcoming and past commitments in one place.

Upcoming Shifts

Shifts you are signed up for. Tap a shift to cancel, report illness, or switch with another volunteer.

Upcoming Events

Community or fundraising events you have registered for.

Unavailability

You can block out dates you are not available so admins know when not to schedule you. Use the "Set Unavailable" button.

Past Shifts

A record of all your completed shifts — useful for tracking your contribution.

If you're unwell and can't make a shift that starts within 24 hours, use the "Report Illness" button on that shift so the team is notified.

Your ID card is found by tapping the 🆔 View ID button on your Dashboard. It contains your photo, name, role, hours milestone, and a charity number.

Update Your Photo

Tap "Update Photo" inside the ID viewer. You can take a new photo or upload one. Photos can only be changed once every 3 months.

Edit Badge Name

You can change the name displayed on your printed badge — but only once. Tap "Edit Name on Badge" inside the ID viewer.

Order a Physical Badge

Tap "Order Badge" to request a printed ID badge. Fill in the form and submit your order.

Your Dashboard shows your total hours contributed since you joined. These are tracked automatically every time you clock in and out.

Need a letter confirming your volunteer service?

On your Dashboard, tap "Service Verification" under your hours stats. This sends a request to the admin team. Collect your letter at reception on your next visit.

Milestone badges are awarded automatically at 50, 100, 200, 500, and 1000 hours. They appear on your Dashboard and ID card!

Upcoming fundraising events and "Gotcha Day" dog adoption celebrations appear at the bottom of your Dashboard and on your Schedule page.

Volunteer Events

Tap "I'm Going" on any event card to register. You can cancel at any time before the event.

Gotcha Days

When a dog is being adopted, a Gotcha Day card appears. You can sign up to attend or volunteer to groom the dog before their special day.

If you are visiting (not volunteering), use the blue "Visitors" card on the Clock Station at reception.

Tap the blue "Visitors Tap Here" card

The card will expand to show Sign In and Sign Out buttons.

Fill in your details

Enter your name, reason for visit, and car registration if applicable.

Sign Out when you leave

Tap the Visitors card again and select Sign Out, then find your name in the list.

Visitors do NOT need a code — just tap Sign In and fill in the form directly on screen.

Quick Tips

  • 1Always clock in AND out — your hours are only logged when both are recorded.
  • 2If you forget to clock out, let a member of staff know and they can fix it.
  • 3You can set yourself as unavailable on the My Schedule page so you don't get reminders for days you can't volunteer.
  • 4Reminders are sent automatically before your shifts — make sure notifications are on for your browser.
  • 5If anything looks wrong with your hours or profile, contact an admin through the app or speak to a member of staff.
